This article outlines the steps to take for creating a Microsoft Booking Page as well as adding the link to your Outlook Signature.
1. Login to Microsoft Bookings using this link: Microsoft Bookings
2. Once logged in, you will see several Meeting Types listed under your Personal Booking Page.
Review Your Meeting Types
The Meeting Types determine the different types of meetings that people can schedule with you.
For example, your Personal Booking Page may display meeting types such as:
- 30-Minute Meeting
- 15-Minute Meeting
- 1-Hour Meeting
These meeting types will be displayed as options when someone visits your Personal Booking Page, as shown below:
Select the Meeting Type you would like to configure, or create a new Meeting Type by selecting the + Create Meeting Type button.
After selecting a Meeting Type, review the available settings. Depending on the meeting type, you can configure items such as:
A. Meeting Name: Change the name of the meeting. This is the name potential bookers will see when selecting a meeting type.
B. Meeting Category: Select a category for the meeting. This determines the category/color that will be used for the meeting on your Outlook calendar.
C. Meeting Description: Enter a short description explaining the purpose of the meeting. This description will be visible to potential bookers.
D. Location or Microsoft Teams Meeting: Enter a physical location for the meeting, or enable the Microsoft Teams meeting option if the meeting will be held through Teams.
E. Meeting Duration: Select how long the meeting will last.
F. Public or Private: Select whether the meeting type should be Public or Private. Public meeting types are available to anyone who has access to your Personal Booking Page. Private meeting types can only be accessed by someone who has the direct link to that specific meeting type.
Scheduling Customization - Select Advanced Options
H. Availability: Select Use custom availability hours to set the specific days and times when this meeting can be booked. You can also select See regular meeting hours to use your normal Booking Page availability.
I. Date Range: Enable Only during the following date range if this meeting type should only be available for booking during a specific period. Enter the desired start and end dates.
J. Available Days and Times: Select the days of the week and the hours during which this meeting can be booked. You can add multiple availability periods to the same day if needed.
K. Buffer Time Before Meeting: Set an amount of time that should be reserved between the previous calendar event and this meeting. This can help prevent back-to-back meetings.
L. Buffer Time After Meeting: Set an amount of time to reserve after the meeting before another booking can be scheduled.
M. Limit Start Time To: Select the intervals at which meetings can begin, such as every 15 minutes, 30 minutes, or 60 minutes.
N. Minimum Lead Time: Set how far in advance someone must book the meeting. For example, a 1-hour minimum lead time prevents someone from booking a meeting less than one hour before it begins.
O. Maximum Lead Time: Set how far into the future someone can schedule a meeting. For example, selecting 90 days allows bookings up to 90 days in advance.
P. Email Reminders: Add automatic reminder emails that will be sent to the person who booked the meeting before the appointment.
Q. Email Follow-Up: Add an automatic follow-up email that can be sent after the meeting. This can be used to collect feedback or remind the person to schedule another appointment.
After selecting your desired options, select Save in the top-right corner to save your changes.
Copy Your Personal Booking Page Link
Once your Meeting Types are configured, return to your Personal Booking Page.
Copy the URL for your Personal Booking Page by selecting the copy icon.
This is the link you will provide to others so they can view your available meeting times and schedule a meeting.
Add the Booking Link to Your Outlook Signature
1. Open Outlook to navigate to your Signature settings.
2. Select File on the top left side of the tab.
3. Select Options on the bottom left of side of the following page.
4. Under Outlook Options, select Mail.
5. Select Signatures.
6. Add text to your signature indicating that recipients can use your Booking Page to schedule a meeting.
For example:

7. Highlight the text and select the link button.
8. Next to 'Address:', paste the Bookings link copied from earlier. Then Select OK.
9. Save your Outlook signature settings.
Your signature will now include a link that allows recipients to view your availability and schedule a meeting without needing to coordinate a time over email.
