Every business has different security requirements. That means your sharing options might look slightly different depending on your industry, compliance needs, or company policy.

  1. Find the file in your local OneDrive folder, right‑click it, open the OneDrive menu, and select Share.

    This opens the main sharing window — your control panel for choosing who gets access and how.


  2. Fill Out the Sharing Details
    Here’s the quick breakdown of what you’re looking at:

    A — Who are you sharing with?

    Type the full email address of the person you want to grant access to.
    External users must match the exact email you send the invite to — no second accounts, no “I forgot I had two inboxes.”

    B — What permissions should they have?

    Your organization’s default settings may vary, but as a best practice:
    Default to “View Only.”
    Only give “Edit” access when someone truly needs it.
    This keeps things secure and prevents accidental changes (or creativeedits).

    C — Add a message (optional but appreciated)

    This shows up in the invitation email.
    A short line like “Here’s the file we discussed — let me know if you need anything else”adds clarity and saves back‑and‑forth.

    D — Hit “Send”

    This creates a secure, unique link and sends it straight to the recipient.





    Important Note About “Copy Link”

    You’ll see a Copy Linkoption next to Send — but here's the catch:
    Copy Link only works for people inside your organization.
    If you're sharing with someone outside your company, you must use the Send button to generate a secure external link.This keeps your files protected and ensures the recipient has to verify their identity before getting access.

What Your External Recipient Sees


  1. They get an email from Microsoft

    This includes your message (if you added one) and a secure link.






  2. They verify their email address

    They’ll be asked to confirm that they are who they say they are, using the same email address you entered.




  3. They receive a one‑time code
    Microsoft sends them a short verification code.




  4. They enter the code → Access granted
    Once verified, they’re in. No Microsoft account required.


If They Get Stuck…
